It answers the phone and books the appointment. Not a message.

An answering service writes down a name. This one reads your calendar and writes the appointment into it before the call ends.

What it does

It reads live availability
Not a list from this morning. If the 3pm was just taken, it already knows.
It books, and it says so out loud
Written the moment it's agreed, into your real calendar — and it re-checks the slot in the instant before writing, because someone can book online mid-sentence.
It knows your prices and your rules
Deposit required on color? Two-hour minimum on a service call? It says so, because you wrote it once.
It hands off
Some calls are not for a machine. You define which, and it passes them on instead of guessing.
You read every call
Transcript, outcome and what it booked. Nothing happens that you can't see afterwards.

Sunday, 9:14pm — the shop is closed and the line rings

Sunday, 9:14pm — the shop is closed and the line rings. Vanta: Kings Barbershop, good evening.. The client: Hey — can I get a fade tomorrow after work? Like 5 or 6?. Reading live availability · 5:00pm taken · 5:30pm free · 6:00pm free. Vanta: Five is gone. I have 5:30 or 6 with Marcus. A fade is $35.. The client: 5:30 works.. Re-checking the slot in the instant before writing it — still free. Vanta: Done — tomorrow 5:30 with Marcus. See you then.. Written into the calendar · tagged as a phone booking

  1. It rings, and it picks up

Your line rings the same as always. Nobody has to be free, and it does not matter if it is a Sunday at 9pm.

  2. It hears what they actually want

Not a menu of options. The person says what they want in their own words — a cut, a touch-up, a price — and it answers that.

  3. It reads your live calendar

Not a list from this morning. If the 3pm was taken two minutes ago, the slot it offers is another one.

  4. It says the price and your rules

Deposit on color, two-hour minimum on a service call, whatever you wrote once. It says it before agreeing to anything.

  5. It writes the appointment in

Into the same calendar you already use, the moment it is agreed — and it re-checks the slot in the instant before writing, because someone can book online mid-sentence.

What it doesn’t do

It is not a person and it doesn't pretend to be one. You decide what it may do on its own and what it must hand to you — and anything involving money or a legal signature always comes to a human.

Questions

What is the difference between an AI receptionist and an answering service?

An answering service takes a message for someone to act on later. An AI receptionist reads your live calendar during the call and writes the appointment into it itself, re-checking the slot in the instant before it does. The appointment exists when the call ends — there is nothing for anyone to type in afterwards.

Does it use my real availability?

Yes. It reads the same calendar the dashboard shows, including staff hours, service durations and anything already booked, so it cannot offer a slot that was taken a minute earlier.

What happens on a call it shouldn't handle?

You define which calls it may complete and which it must hand off. Anything outside those rules is passed to a person rather than guessed at, and you get the transcript either way.

Can I hear what it said?

Yes. Every call has a transcript and a recorded outcome, so you can read exactly what was said and what was booked.

Does it work for more than one location?

Yes. Each location has its own hours, staff and prices, and the receptionist answers with the rules of the location that was called.
